PMS Logbook - The idea behind & how to use

Dear colleagues on board,

A few weeks ago we introduced to you the new PMS tool “PMS Logbook”.

Unfortunately, we have to say that this tool is rarely used and, if so, is often used incorrectly.

That's why we would like to explain the PMS Logbook and the meaning behind it to you again and familiarize you with this tool.


Why do we need to use the PMS Logbook?

The ISM system requires maintenance work to be carried out on all safety and operational facilities and this work must be documented.

In the HLB PMS "Maintmaster" you will find the prescribed maintenance according to operating hours. The technical staff on board then carries out the maintenance work and notes the date of execution with the respective operating hours on the respective equipment page in the PMS.

So far so good.

But we and external Auditors didn't find out how the prescribed maintenance work was carried out in detail and whether any abnormalities were detected in the PMS "Maintmaster".

So the history of the work carried out was missing.

And this repeatedly collided with the ISM system and then led to NCs in external audits.

Many of our engineers have documented maintenance work on board in the engine logbook and service reports were filed on board and in the office for maintenance and repair work carried out by external companies. But just not in the PMS “Maintmaster” where it belongs.

Admittedly, in the "Maintmaster" there were only very limited options for documenting the work carried out in detail.


And that's why we integrated the "PMS Logbook" tool as a corrective measure.

Here, the technical and nautical personnel on board now have the opportunity to document more detailed all maintenance and repair work carried out.

Please inform your colleagues on board to permanently maintain the PMS logbook so that we are and remain system compliant in the area of ISM reporting in the future.
